What is the responsibility of a Ritz-Carlton Wedding Specialist?
Ritz-Carlton Wedding Specialist: Our amazing Special Event Managers are all experts and are here to help you execute the perfect wedding day as you select your menu and partners for your photography, music, and more. The following is a list of the specific items with which your Special Event Manager will be assisting you.

  • Recommend Special Event Professionals which may include full-service wedding coordination, lighting, entertainment, floral, custom décor, photography, ceremony officiant and amenities.
  • Act as a menu consultant for all food and beverage selections.
  • Detail your Banquet Event Orders and Wedding Resume outlining your entire event.
  • Create an estimate of charges outlining your financial commitments and final deposit. 
  • Create a diagram of your function space, in order for you to provide seating arrangements.
  • Establish your guest room block and monitor the status of reservations (if applicable).
  • Create a time line for your entire wedding day including the ceremony and reception.
  • Work with you to organize and coordinate your ceremony rehearsal, dependent upon event space availability.
  • Be the liaison with your family, bridal party, band/DJ, florist, photographer and other vendors to create a seamless operation.
  • Oversee the ceremony and reception room(s) set-up, food preparation and other internal hotel operations.
  • Be the on-site liaison between your wedding coordinator (if applicable) and hotel operations ladies and gentlemen.
  • Ensure the ladies have the corsages and bouquets etc., and assist with the pinning of boutonnieres.
  • Arrange ceremony programs, escort cards, place cards, favors and any personal items.
  • Coordinate your actual ceremony (line up bridal party, assist bride with dress.)
  • Coordinate your reception (grand entrance, first dance, toasts, cake cutting, etc.)
  • Collect any personal items you may have brought at the conclusion of the reception.

What does The Ritz-Carlton provide for weddings and receptions?
The Ritz-Carlton provides all food and beverages, tables and chairs, ivory damask underlay's with white overlays, silverware and glasses, elegant custom menu cards, a dance floor, and staging for your event. The rental of a ceremony location includes chair set-up, and staging. This also includes an on-site Wedding Concierge to greet and welcome your guests, place escort cards, favors, menu cards, and programs.

The Ritz-Carlton can provide a wide range of specialty items to help you personalize your event, such as chiavari chairs, specialty linens, specialty base plates and lighting. How do I arrange for flowers?
Our preferred florists, Big Apple, Flowers of the World and MCnino Designs will prepare a range of seasonal arrangements, centerpieces, bouquets, headdresses, corsages, and boutonnieres. The hotel also allows other outside florists for events.
 

Can The Ritz-Carlton Wedding Specialist recommend a good minister, photographer, or florist?
Your Ritz-Carlton New York, Battery Park Wedding Specialist has access to a wealth of stylists, makeup artists, photographers, florists, designers, and officiants. Your wedding specialist can facilitate and coordinate arrangements with your vendors.

May I use outside vendors?
You may use outside vendors for your wedding cake, and flowers, etc.

Are there any guidelines or requirements for using outside vendors?
The hotel requires a certificate of insurance as well as a signed vendor agreement that is provided from the hotel.

What kind of music is available?
Your personal wedding specialist can help select the perfect musical accompaniment. Choices include a harpist, saxophonists, classical duos or quartets, jazz or salsa bands, or a DJ, which is provided by Hank Lane. The hotel also allows outside entertainment vendors for events. Costs for all options vary.

Do you have a list of preferred vendors?
Your Ritz-Carlton wedding specialist can offer a list of preferred vendors. 
 

May I take wedding pictures at The Ritz-Carlton if my wedding is to be held elsewhere?
We reserve photography privileges for couples whose weddings or receptions are held at The Ritz-Carlton.

May I take wedding pictures at The Ritz-Carlton?
If your wedding reception is held at The Ritz-Carlton you may take photos inside your reception space, guest room, or suite. In order to protect the privacy of our guests, photography is prohibited in all public areas of the hotel, including the lobby. Your Ritz-Carlton wedding specialist can assist you in more detail, including photography in Wagner Park and Battery Park located just steps away from the hotel.
 

How do I choose the food for my reception?
Whether your reception is an intimate dinner or a lavish gathering, we offer a range of cuisines. From hors d’oeuvres and Champagne cocktails to optional stations and gourmet buffets or formal dinners with plated selections and synchronized service. All options are catered. Your wedding specialist will assist you with choosing from our extensive menu. A tasting will be scheduled to help you finalize your choices (for events of 100 people and over).

I /my guests have special dietary needs; what are the options?
We are delighted to offer a selection of vegetarian, vegan, gluten-free and Kosher cuisines for any dietary need. Please consult with your wedding specialist for more details.

May I bring in an outside caterer?
All events at The Ritz-Carlton are catered by our exceptional culinary team. However, you may choose to have your wedding cake prepared by an outside vendor.If an Indian caterer is required the hotel works with Bakhara Grill. What is required by the state of New York and the county New York for a legal wedding ceremony?
First you will need to obtain a marriage license. You do not need to make an appointment (except for Staten Island where you need to make an appointment) and you do not need to take a blood test. The prospective wedding couple must appear together in person at one of the borough offices of the City Clerk of New York (sited in the Borough Halls in each borough).

What do I need to know before contacting the hotel?
You should know the estimated number of guests, a date, and an approximate budget for your event. If possible, choose a few alternative dates in case your first choice is not available.

How far in advance should I reserve the date?
Although The Ritz-Carlton New York, Battery Park often fills the most popular dates as far as two years in advance, other dates are typically available with less notice. Contact the hotel for more information about available dates.

What is the average cost per person for food and beverage for my wedding at The Ritz-Carlton New York, Battery Park?
Based on our current banquet menus, you may expect to spend on average, $175-$200 per person for lunch and $235-$325 per person for dinner, both of which are exclusive of service charge and sales tax. These averages include hors d’oeuvres for your welcome reception, three-course plated meal, wine service with the meal with tableside choice of entree, champagne toast and an open, hosted bar for the entire event, based on a 5 hour event. Please be aware that our menu items and pricing are subject to change and are guaranteed 90 days in advance. Your final menu pricing will be based on your actual selections.

What are the deposits based on and when are they due?
Deposits are based on 25% of the combined food and beverage minimum, plus the ceremony for the event space reserved. Deposits are non-refundable and non-transferable. Six months prior to your event, 25% of the estimated charges are due. Two months prior to your event, 25% of the estimated charges are due, and the estimated final balance is due fourteen business days prior to your event.

When do I need to tell The Ritz-Carlton exactly how many guests will be attending my wedding?
The Hotel requires the final guarantee of attendants to be communicated to the catering office no later than Noon at least three (3) business days prior to the date of your scheduled event. If the guaranteed number is not provided, the billing will be for the greater of the following: (1) The number of persons for which the party was originally booked or (2) The number of persons in attendance. The hotel will prepare and set for five % above the guarantee, if requested.

Do the wedding couple get a complimentary room for the wedding night?
The hotel provides a complimentary Statue of Liberty View Suite for the wedding couple on the night of their wedding. The complimentary Statue of Liberty View Suite is offered with a minimum of 100 guests in attendance at the reception.

Are there special room rates for wedding guests?
For family and friends of the wedding party, The Ritz-Carlton, Battery Park will be happy to quote preferential rates for the weekend of the event. A block of twenty-five rooms will be held for guests at a preferential rate, per night plus applicable taxes for Deluxe guest rooms.

What local laws affect events at The Ritz-Carlton?
Due to New York State law no alcoholic beverage may be served until 12 p.m. on Sundays.

What is the average cost per person for food and beverage?

 

Based on current banquet menus and wedding packages, costs will vary per person for lunch and per person for dinner exclusive of current taxable service charge and current sales tax. These averages would encompass hors d’oeuvres during your welcome cocktail reception, plated or buffet meal, wine service with meal and an open hosted bar service based on a moderate drinking group. 

 

Please be aware that our menu items and pricing are subject to change and your final expenditure will depend on your final guest attendance, menu selections and food and beverage financial commitment.

 

Are we permitted to provide our own food and beverage at the hotel?

 

Although we do not permit food and beverage from outside sources to be served in the hotel, our culinary team provides an extensive selection of wonderful food and beverage, including a multitude of ethnic cuisines. We are delighted to customize menus to reflect your own personal tastes and even incorporate cherished family recipes.

 

Can you please clarify the Food and Beverage Minimum?

 

The food and beverage minimum is the least amount of money that you are required to spend in a combination of food and beverage, excluding service charge and sales tax based on the venue you are utilizing for your event. Please keep in mind that is not all you can anticipate to spend. The food and beverage minimum is reached by selecting individually priced, a la carte menu items or applicable wedding package with optional enhancements to equal or exceed the required dollar figure. 

 

The following are examples of items that would apply towards the food and beverage minimum: 

 

Butler passed and displayed hors d’oeuvres, carving stations, plated or buffet meal, dessert stations, specialty martini bars, dinner wine service, champagne toast, bar service and non-alcoholic beverage items.

How late can alcohol be served?

 

We recommend that alcohol service be discontinued approximately one hour prior to the end of your function. By California State Law, no alcohol may be served after 2:00 a.m.

 

When do I need to finalize my menu?

 

Food and beverage selections must be finalized and confirmed with your Ritz-Carlton Events Manager four to six weeks prior to the date of your wedding. Your final guest count or guarantee is due three business days prior to the wedding or one week with choice entrée selections. This will be considered a guarantee, for which you will be charged even if fewer guests attend the event.

 

Do you provide children’s and vendor meals?

 

Children’s menus are customized to the needs of your event and will vary for children ages (5 through 12). Chef’s choice of vendor meals is priced based on the current banquet menu selections.

 

Do you provide a tasting of the food we select? When may I come and what is included?

 

We are pleased to offer a sample menu tasting for weddings with a food and beverage minimum. Tastings are scheduled with your Meetings and Special Events Manager for as outlined in your tasting guideline in the sales contract. There will be an additional for guests beyond the above listed.

How do I secure my wedding date and venue?

 

Your initial visit will be conducted by the Catering Sales Manager. She will conduct a thorough inspection of a designated venue and will check dates, space and locations. Upon selection of your wedding date, a Catering Agreement will be prepared and your date will be confirmed upon receipt of your deposit. Your details are then turned over to a Ritz-Carlton Wedding Specialist on the Special Events team to begin the planning process of your wedding.

 

Can I host my ceremony only at The Ritz-Carlton, Lake Tahoe?

 

While our indoor and outdoor ceremony sites are generally reserved exclusively for those couples hosting their reception at the Resort, ceremony-only options may be available on select dates and times.

 

How late can I play music?

Indoor locations (The Ritz-Carlton Ballroom and Pines Ballroom) – 2 a.m. 

Outdoor locations (Fireside Terraces, The Woods, The Meadows) – 10 p.m.

A room block guarantees a certain number of rooms exclusively for your guests. Your contracted guest room rate is guaranteed until approximately 45 days prior to your wedding date. This date is listed on your sales contract. After that time guests may make reservations based on availability at prevailing rates. Any remaining rooms not reserved will be released for sale at the cutoff date. Financial responsibility for unused and unsold rooms may apply; please refer to your sales contract.

 

Can we do a rehearsal for the wedding ceremony?

 

Your Ritz-Carlton Wedding Specialist is happy to arrange a ceremony rehearsal for you and your wedding party. Rehearsal times are confirmed up to three (3) weeks prior to your wedding and set at a time that does not interfere with other booked events; please contact your Ritz-Carlton Wedding Specialist in advance to arrange. Ceremony rehearsals are normally one hour in length and there is no additional fee.

 

Where does the bridal party get ready before the wedding?

 

Many of our brides choose to stay with us the evening before their wedding and therefore have the use of their room for changing. Your florist, bridesmaids and family members may bring any flowers, dresses and makeup into your room. Wedding parties also have the option of buying out the salon area of The Ritz-Carlton Spa, Lake Tahoe for hair, nails and makeup providing all services are contracted through the resort.

 

What are the fees for parking? Can I pay for all guests parking?

 

The Ritz-Carlton, Lake Tahoe offers only valet parking. Our current valet parking charges are $10 event parking and $35 for overnight guests. You may choose to host your guests parking charges by applying the charges to your master bill. Alternatively they may pay individually. The wedding party is responsible for any vendor parking as well which may be added to your master account.

How can I obtain a marriage license in Placer County?

 

There are several requirements for obtaining a marriage license in Placer County, CA. If your ceremony is taking place in another county or state, your wedding coordinator or Ritz-Carlton wedding specialist would be delighted to assist you in obtaining the necessary information for that locale. 

 

The following requirements need to be fulfilled to obtain a marriage license in Placer County: 

 

Both parties must be at least 18 years old 

Both the bride and groom must apply in person 

You must have proper government-issued identification with the correct spelling of your name and address. Options include: 

Driver's License 

Passport 

 

Divorce papers are not necessary if the divorce has been final for over 90 days. 

A blood test is no longer required in California. 

The certificate may be obtained from any county seat in California. It will be honored within the state for 90 days.

May we take our wedding photographs at the hotel if we are not hosting our reception there?

 

Our most elegant backdrops for wedding photographs are private areas reserved for our guests hosting their wedding reception in the hotel. We request that photographs taken in any public area of the hotel, such as the hotel lobby, staircases, lounges or restaurants do not interfere with another guest's experience. Removal or rearranging of public area furniture is not permitted.
