Our dedicated special events team is eager to make your Puerto Rico wedding experience truly memorable for you as we oversee every detail of your day. Our award-winning chefs will work with you to create a beautiful dinner for family and friends, including an opportunity to schedule a tasting appointment before the big day. You can choose from our signature menus or you can let us know your culinary vision and our wedding planning team will work with our chefs to design a menu specific to your tastes.

How far in advance do I have to provide final menu selections?
To ensure the best overall experience, we request that menu selections be finalized no later than four weeks prior to the event. Meal guarantees are required 72 business hours prior to the function date by 10 a.m.

Is it permitted to hire an outside catering company?

All food and beverage is to be purchased solely through The Ritz‐Carlton, San Juan. All food and beverage pricing is subject to a 24% taxable service charge and a 11.5% sales tax.

Can you provide us with a food tasting before the wedding?
Tasting appointments are available upon request for parties with a contracted minimum food and beverage expenditure of $10,000. All appointments will be scheduled for Tuesdays, Wednesdays and Thursdays between 1 p.m. and 4 p.m., please know that tastings are offered only to confirm plated menu.

Can we have a customized menu for our wedding?

Wedding reception menus at The Ritz‐Carlton, San Juan are personally customized with your Special Events Manager and our Culinary Team. Your favorite foods, ethnic traditions and dietary restrictions are all observed and accommodated for your wedding. Sample menus are available upon request.

Can you create wedding cakes?
The pastry chef and his team revel in creating the perfect cake. Serving amounts vary with cake specifications.

How can I schedule a visit to see the facilities?
Site visits to tour the hotel are made by appointment only with the Catering Sales Manager, available Monday through Friday from 9 a.m. – 5 p.m.

Can the hotel provide a special rate for wedding guests?
Based on availability and a minimum guarantee of 10 rooms per night, three night’s minimum stay, a block of rooms may be set aside at a discounted rate for your guests. The rooms are required to be guaranteed with a contract and client’s guarantee of 85% usage of rooms reserved.

What is the hotel’s subcontractor policy?
The client has to agree that all subcontracted companies (theme companies, decorators, audiovisual companies, production companies, entertainment companies, etc.) abide by all hotel rules and regulations and the code of conduct and policies. The contracted company shall furnish to the hotel a valid certificate evidencing at least one million and no/100 dollars ($1,000,000.00) of comprehensive general liability coverage prior to the commencement of work or services at the Hotel.

What is required to secure the date and space?
To confirm and guarantee your event a signed agreement and initial deposit are required. The initial deposit is equal to 25% of your contracted food and beverage minimum plus the wedding venue fee. The remaining balance of the contracted amount will be divided into three equal payments.

If my event is outdoors, how long can we have entertainment for?
All entertainment that is outside of the hotel must conclude no later than 10 p.m. This is in accordance with local ordinances and respect for our other hotel guests. This does not apply for events at the beach or Vista Mar Terrace that must conclude at 12 a.m.

If my wedding is outdoors, what happens in the event of bad weather?
With all outdoor events, we reserve an indoor option in case a function has to be relocated due to bad weather conditions.

Is the beach available for private functions?

Yes. A special beach permit is required to hold a private function. The beach permit cost depends on the square footage needed to accommodate the event.

What is your service fee and sales tax?
A 24% service fee will be added to all food and beverage charges. A municipal sales tax applies to all retail sales and services. The sales tax is 11.5% and is subject to change.

How will the guests be directed to ceremony site?
All wedding planners will be assigned a professionally trained conference concierge to assist them while on property with their event. Our conference concierge will escort your guest to ceremony site and will assist with last minute changes and any other service to ensure the overall success of your wedding.

Do you offer hair and makeup services for the bride and her bridal party?

The bride and her bridal party can enjoy services and treatment in the spa, salon. For an additional fee our spa stylists will provide hair and makeup consultations for up to two hours. Aside from this, manicures, pedicures, facials and massages are available upon request.

What is the role of the service manager?

Coordinates all details involved with group bookings, working closely with wedding planners to arrange all rooming, food and beverage details, meeting facility specifications, and any additional requirements of the group. The Meetings and Special Events Manager partner with company event planners prior to their arrival to understand, manage, record and coordinate the details of each event and to communicate these to the relevant departments. The role of the Meetings and Special Events Manager is to be the liaison between the planner and the hotel operational departments. The team works to ensure the guests’ utmost satisfaction with the event.

  • Provide us with the list of vendors you have already chosen. Be sure to include names and contact information.
  • If you need assistance finding additional vendors, let us know – each property has a list of preferred vendors to share. Many of our properties offer floral design, lighting, decor and other services in-house, which will help streamline your wedding to-do list.


  • Choose a date and time for your rehearsal and rehearsal event. Typically this is the day before the ceremony.
  • Choose a rehearsal event. Commonly a dinner, the event is an opportunity to entertain family, out-of-town guests and the bridal party before the wedding day.
  • Create a list of wedding guests for both the rehearsal and the event. The rehearsal should include all members of the wedding party, the officiant and the wedding planner. The dinner may include additional family members and friends at the discretion of the bride and groom.


  • Where will the groom be getting ready?
  • When will pictures be taken?
  • Will the bride and groom see each before the wedding?
  • Do you need a holding room for the bridesmaids or groomsmen?


  • Consider the atmosphere you would like to evoke during your ceremony.
  • What type of music would you like? Would you like specific songs performed at key moments?
  • Would you like to offer a unique enhancement to your ceremony, such as special refreshment for guests, artistic furniture placement to enhance guest socialization, a fireworks display or more? The sky’s the limit!
  • Provide a full list of the entire bridal party in order of entrance. Make sure to include any family members and their escorts.


  • How many guests will you have? What type of seating will you offer for these guests?
  • What type of menu would you like? Would you like tray-passed items, culinary stations, a seated meal, or a combination of these and other options? Will you have a cake?
  • Would you like an open bar? Will you offer a signature drink? Make sure to include non-alcoholic options.
  • Will you have a theme for your reception? How do you want that theme translated into décor?
  • Would you like any special lighting?
  • What type of music or other entertainment would you like? Would you like specific songs performed throughout the event at key moments?
  • Will you set up a gift table? Would you like your gifts stored?
  • How will you distribute table assignment information?
  • Create a full schedule of events, including a timeline for introductions, the first dance, any blessings and toasts, and the cake cutting in your wedding checklist.


  • Would you like to host a post wedding brunch the next day?
  • Will you require any special assistance packing your wedding dress?
  • Have you decided who will be responsible for transporting your gifts home after the wedding?
