Impact Experiences offers on-property activities that can be incorporated in the conference agenda during lunch breaks, receptions and coffee breaks, including:

  • Partnering with the hotel’s culinary team to prepare the ingredients for a regionally adapted dish for donation to a local hunger relief organization;

  • Assembling school supplies and art materials in backpacks for donation to students whose academic success is threatened by poverty;

  • Collaborating in teams to assemble emergency preparedness kits for shipping to a disaster relief facility or community organization;

  • Designing and creating greetings and birthday cards for children in a local pediatric healthcare facility or children’s organization.

Protecting the Island’s Sand Dune Ecosystem
Help protect the delicate ecosystem of Amelia Island by planting native sea grass along 13 miles of coastal beaches. A guide will share information on the sand dune system and how sea oats protect it. Group guests can also visit the tallest dune in Florida, a majestic, protected landmark sure to leave participants in awe.

This is the perfect ballroom for a small gala, accommodating 100-150 guests. Illuminated with four gorgeous chandeliers, we recommend adding pillar candles with trumpet vases for the ultimate romantic effect. The room also offers a large dance floor and stage, as well as a large private foyer ideal for a cocktail reception before dinner.

Elegant. Opulent. Luxurious. The Ritz-Carlton Ballroom offers a warm golden color scheme complete with spectacular crystal chandeliers. Accommodating up to 800 guests with a large stage and immense dance floor, the Ballroom can divide into three salons, each very private and accommodating up to 200 guests with a buffet or 300 with a plated dinner. This is the perfect setting for your grand gala wedding.

One of the talented catering and conference professionals will assist you with every detail of wedding planning to help create your dream wedding. In addition to our enclosed menu selections, our Executive Chef can prepare any choice of menu based on personal preference, religious observations or dietary restrictions to create a fine dining experience. With breathtaking wedding venues and personal service, our Amelia Island resort offers the perfect destination for your special day. The Ritz-Carlton is pleased to assist you with the selection of flowers, linens, music and décor and any other wedding planning needs to ensure your wedding celebration is the ultimate expression of your heritage and happiness.

  • What do I need to know before contacting the hotel?
    You should know the estimate number of guests, a date and an approximate budget for your event. If possible, choose a few alternate dates. Next, decide what your dream wedding is ... small intimate wedding; destination wedding or a grand gala.

  • Are there suggestions for planning my wedding?
    Create a wedding binder. Clip pictures from magazines and make notes about what you have liked at other weddings. This will help you with selecting flowers, cake, room décor and those special touches to make it uniquely yours.

  • What are the deposits based on and when are they due?
    Deposits are due at the signing of the catering agreement and based on 50% of the food and beverage minimum, plus the venue fee for the event space reserved. Deposits are non-refundable and non-transferable. Six months prior to your event, an additional 25% of the estimated charges are due. Three months prior to your event, the remaining 25% of the estimated charges are due and the estimated final balance is due 15 days prior to your event.

  • What local laws affect events at The Ritz-Carlton, Amelia Island?
    Noise Ordinance: No loud noises are permitted after 9:45 p.m. during outdoor events.

  • What is required by the state of Florida for a legal wedding ceremony?
    Couples wishing to be married are required to obtain their own marriage license at any courthouse in Florida. Both bride and groom must be present and have proper identification. The cost of the license is payable by cash or money order. The marriage license will be issued at the time of application and is valid immediately for out-of-state residents and after three (3) days for Florida residents. It must be used within 60 days.

Audiovisual Services
  • We conveniently have state-of-the-art audiovisual equipment available in-house. Pricing is available upon request and 24-hour notice is requested. All audiovisual rentals are subject to a taxable service charge and sales tax.
     
Outside Vendors
  • Destination Services
    The Ritz-Carlton, Amelia Island offers a full-service design and planning experience to include ceremony and reception musicians, decor and floral services. We welcome the opportunity to partner with outside vendors and will assess fees based on the level of coordination required by the resort to support the outside vendor.

  • Legal Ceremony Arrangements and Photography
    These vendors will be retained and contracted by the client. The resort cannot and will not be responsible for the logistics of retaining these services. We reserve photography privileges for couples whose weddings or receptions are held at The Ritz-Carlton, Amelia Island.

  • Hotel Accommodations/Group Rates
    Based on availability and a minimum guarantee of 10 rooms per night with a two-night minimum, a block of rooms may be set aside at a special rate for your guests.

  • We recommend all your custom floral and décor requirements be arranged by one of our professional floral consultants. E-Shape, U-Shape and T-Shape
Appropriate for groups of fewer than 40 people. These are best for interaction with a leader seated at the head of the setup. Audiovisual is usually best set up at the open end of the seating.
Theater
Appropriate for large sessions and short lectures that do not require extensive note-taking. This is a convenient setup to use before breaking into discussion or role-playing groups because chairs can be moved.
Reception
Stand-up social function where beverages and light foods are served. Foods may be presented on small buffet tables or passed by servers. May precede a meal function.

The most desirable setup for medium to large-size lectures. Requires a relatively large room. Tables provide attendees with space for spreading out materials and taking notes.
